3. Purposes for which we use personal data
We process personal data for the following purposes:
Primary care & service delivery
- To assess, diagnose (within BNYS/naturopathy scope), create personalised diet and lifestyle plans, deliver consultations, and monitor progress.
Administrative & billing

4. Legal basis and sensitive data
Because we process health and medical information (sensitive personal data), we will only process such data with your explicit consent, or as otherwise permitted by applicable law. By submitting health information to us, you explicitly consent to our processing of that information for the purposes listed in Section 3.
5. Who we share data with
We may share personal data with:
- Authorized staff: Our nutritionists, authorized assistants, and administrative staff who need the data to provide services.
- Service providers: Payment processors, hosting providers, analytics providers, email/SMS platforms, and other third-party tools that process data on our behalf. These providers are contractually required to protect your data.
- Medical providers & labs: When necessary and with your consent (e.g., you send us lab reports or authorize us to obtain them).
- Legal & regulatory authorities: If required by law or to respond to lawful requests.
- Acquirers or business partners: In event of merger, sale, or reorganization, subject to confidentiality and notice to users.
We do not sell your personal data. Any sharing will be limited to what is necessary for the purpose and regulated by agreements to protect your privacy.
6. Where we store & how we protect data
Storage locations
- Data is stored on our website server and in secure tools/services (e.g., cloud storage, Excel files maintained by our team, WhatsApp chat backups used for care). Payment details are processed and stored by our payment processors.
Security measures
- We implement reasonable technical, administrative, and organizational safeguards — such as access controls, password protection, encryption in transit, routine access reviews, and secure backups — to protect personal data from unauthorized access, alteration, disclosure, or destruction.
Important note about WhatsApp
- WhatsApp is a third-party platform; while messages are end-to-end encrypted between you and us, backups or forwarding may not be secure. By communicating via WhatsApp you acknowledge the platform’s data practices. We advise caution when sharing highly sensitive information via third-party messaging.
While we use reasonable security measures, no method of transmission or storage is 100% secure. We cannot guarantee absolute security.
7. Retention of personal data
You indicated you keep data “mostly forever.” We recommend the following practical rule (which we include here — you may change it later):
- Active client data: We retain data while you are an active client and for a period of 7 years after the end of services for medical recordkeeping, legal, and compliance reasons.
- Marketing & aggregated data: De-identified or aggregated data may be retained indefinitely.
- If you request deletion: We will delete or anonymize your personal data upon verified request, subject to any legal or medical record retention obligations (for example, where retention is required by law or for medical/legal defense).
- If you wish to request deletion or amendment, contact us at support@asrealdiets.com
